Publishing Ethics

Handling complaints and appeals

Submission of complaints

Complaints must be submitted in writing to the Editorial Office via the publication's official contact email. The complaint should include:

  • A detailed description of the issue.
  • Any relevant evidence or documentation.
  • The desired outcome or resolution.

Acknowledgment of complaints

The publication will acknowledge receipt of the complaint within 10 working days.

The complainant will be informed of the process and timeline for addressing the complaint.

Investigation process

The Complaints Resolution Team of the Editorial Office of the publication will review the complaint and may consult with editorial board members or external experts as necessary.

If the complaint involves the Editor-in-Chief, the complaint will be handled by a senior editorial board member or an independent third party.

Resolution

The publication will aim to resolve the complaint within 2 weeks of acknowledgment.

The outcome of the investigation will be communicated to the complainant in writing, detailing the findings and any corrective actions to be taken.

Possible outcomes include:

  • Upholding the original decision or action.
  • Correcting errors or omissions in the editorial process.
  • Offering an apology if the complaint is upheld.
  • Retraction or correction of published content if necessary

Appeals process

If the complainant is not satisfied with the resolution, they may appeal the decision.

Appeals must be submitted within 10 days of receiving the resolution and must include:

  • A detailed explanation of why the resolution is unsatisfactory.
  • Any new evidence or arguments that were not considered during the initial investigation.

Handling of appeals

Appeals will be reviewed by an independent panel, which may include members of the editorial board not involved in the original decision.

The panel will reassess the case and may seek additional input from external experts.

The decision of the appeals panel is final and will be communicated to the complainant within 2 weeks.

Misconduct and sanctions

Any form of misconduct, including plagiarism, data manipulation, false claims of authorship, and violation of publishing ethics, will be investigated seriously. If misconduct is confirmed, appropriate sanctions may include retraction, notification to the authors' institutions, and public disclosure of misconduct.

Submission of allegations

Allegations of research misconduct should be submitted in writing to the Editorial Office via the publication’s official contact email.

The submission should include:

  • A detailed description of the alleged misconduct.
  • Relevant evidence or documentation supporting the claim.
  • The names of any individuals involved, if known.

Acknowledgment of allegations

The publication will acknowledge receipt of the allegation within 10 working days and inform the complainant of the process and timeline for addressing the issue.

Preliminary assessment

The Editor-in-Chief will conduct a preliminary assessment to determine if the allegation falls within the publication’s scope and warrants a full investigation.

If the allegation is deemed frivolous or lacks sufficient evidence, the complainant will be informed of the decision.

Investigation process

If a full investigation is warranted, the Editor-in-Chief will:

  • Appoint an investigation committee comprising members of the editorial board or independent experts.
  • Notify the authors of the allegation and provide them with an opportunity to respond.
  • Collect and review all relevant evidence and documentation.
  • Maintain confidentiality throughout the investigation process.

Resolution

The investigation committee will:

  • Assess the evidence and determine whether the allegation is substantiated.
  • Prepare a report with findings and recommendations.
  • Submit the report to the Editor-in-Chief, who will make the final decision on the case.

Possible outcomes

Based on the investigation, possible outcomes may include:

  • No action if the allegation is not substantiated.
  • Correction or retraction of the publication if misconduct is confirmed.
  • Notification to the relevant institution if necessary.
  • Measures to address any ethical lapses in the research process.

Ethical oversight

Ethical guidelines for research involving human participants

Comprehensive ethical guidelines must be strictly followed when conducting research involving human participants. This includes obtaining informed consent, ensuring privacy and confidentiality, and minimizing any potential risks or harm.

Ethical norms for animal research

All animal research undergoes rigorous ethical review to guarantee the welfare and proper treatment of the animals involved, in line with recognized ethical standards.

Ethical principles for data collection and processing

Data must be collected and processed with integrity, accuracy, and transparency, obtained legally and ethically, and handled in a way that respects the rights and interests of all concerned.

Ethical considerations in research methods

Only ethical, valid, and reliable research approaches should be employed, and any questionable or unethical research practices are thoroughly examined and discouraged.

Ethical responsibilities during the publication process

During the publication process, ethical responsibilities cannot be overlooked. The authenticity, originality, and ethical soundness of submitted works must be ensured, and plagiarism and unethical manipulation of research results are strictly prohibited.

Disclosure and management of conflicts of interest

Authors and reviewers are obligated to disclose any potential conflicts of interest, and effective mechanisms have been established to manage and address such disclosures.

Review and supervision mechanisms

Robust review and supervision mechanisms have been established to monitor and evaluate the ethical compliance of research and publication activities.

Handling of violations

In the event of ethical violations, prompt and appropriate actions will be taken, which may include retraction of published works, sanctions against the responsible parties, and public notification.

Adherence to international and professional ethical standards

We remain committed to complying with international and professional ethical standards in the field of research and publication, constantly evolving and adapting to new ethical challenges and developments.

Intellectual property

Intellectual property rights are held in the highest regard. It is expected that authors will do the same. A commitment is made to respecting and upholding the rights of all creators and innovators, ensuring that their work is protected and appropriately recognized.

Any violations of intellectual property rights, such as plagiarism, unauthorized use of copyrighted materials, or infringement of patents, will not be tolerated. Such violations will result in severe consequences, including the immediate rejection of the manuscript, potential legal actions, and public notification of the violation to safeguard the integrity of the academic and intellectual property landscape.

Post-publication discussions

Constructive post-publication discussions are wholeheartedly encouraged and actively fostered as they play a vital role in the continuous advancement and refinement of knowledge. These discussions offer an opportunity for the scientific community to engage in critical thinking, provide diverse perspectives, and build upon the published research.

All post-publication discussions must adhere to the principles of respect, professionalism, and scientific rigor. Participants are expected to maintain a civil and collegial tone, base their comments on sound evidence and logical reasoning, and contribute to a productive and scholarly discourse that enriches the academic conversation.

Corrections and retractions

Corrections are made when minor but significant errors or inaccuracies are identified that do not fundamentally compromise the core conclusions or integrity of the study. These corrections may include typographical errors, mislabeled figures or tables, or minor methodological clarifications.

Retractions are considered in cases of more severe issues such as significant methodological flaws, proven misconduct, irreproducible results that undermine the validity of the findings, or other circumstances that cast doubt on the reliability and credibility of the published work. The decision to retract is made through a careful and deliberative process that involves a comprehensive evaluation by the editorial team, consultation with relevant experts, and, when necessary, input from the broader academic community.

If the author requests to change the content of the article or retract it, please contact the publisher's email to inform the specific requirements. Please note that if the article has been published online and submitted for database indexing, it cannot be retracted.

Ensuring integrity of scholarly literature

The publication is firmly committed to maintaining the integrity of the scholarly literature it publishes. We have established clear policies and rigorous procedures to handle various integrity-related issues that may arise.

  • Plagiarism is strictly prohibited. Any submission found to contain plagiarized content will be immediately rejected. In cases where plagiarism is identified in a published article, appropriate actions will be taken, which may include retraction of the article and notification to the relevant authorities.
  • Citation manipulation, such as inappropriate self-citation or citation padding, is considered a serious violation. If it is a minor case of citation manipulation, the article may be required to undergo revision and correction. For severe cases, the article might be retracted, and the authors will be subject to corresponding penalties.
  • Data falsification or fabrication is an unethical practice that will not be tolerated. If there is evidence of such misconduct, a thorough investigation will be initiated. If the allegations are substantiated, the article will be retracted, and the authors may face sanctions.
  • Significant errors in research methods will also be dealt with seriously. If the error affects the validity and reliability of the research results, the article may need to be revised or retracted. The decision will be based on a comprehensive assessment of the impact of the error.
  • Researchers are required to ensure the preservation and traceability of research data. All data used in the research must be accurately recorded and stored for a reasonable period to allow for potential verification and review. The data should be organized and documented in a clear and accessible manner to facilitate its traceability and reanalysis if necessary.
  • We have established a reporting mechanism for academic misconduct. Anyone who suspects or discovers potential academic misconduct is encouraged to report it to a designated email address or contact person. All reports will be treated confidentially, and a fair and impartial investigation will be conducted promptly.

In cases where integrity concerns arise, a dedicated committee will be formed to conduct a comprehensive review. We will continuously strive to improve and adapt our policies and procedures to address emerging challenges and evolving standards in the academic publishing landscape.

Post-publication Discussion and Correction Policy

EWA Publishing encourages ongoing dialogue around published articles. We support discussions on third-party platforms like PubPeer, where readers and researchers can engage in constructive critique, raise concerns, or provide additional insights into the published work. This open dialogue helps ensure that research remains dynamic and can evolve with new findings and feedback.

Corrections:

Erratum: An erratum is issued when significant errors introduced during the production or publication process (such as typographical or formatting issues) need to be corrected. These errors do not affect the scientific content or conclusions of the article.

Corrigendum: If the authors discover errors in their own work post-publication that require correction but do not alter the overall conclusions of the research, they may request the publication of a corrigendum. This ensures that minor mistakes are transparently addressed.

Retraction: In cases of severe ethical misconduct, such as plagiarism or fundamental flaws in the research that undermine the validity of the findings, EWA Publishing will retract the article. A formal retraction notice will be issued to inform the readers of the reasons behind the retraction.


Open Access

Immediate Access to Research

EWA Publishing's fully open access publications ensure that all research articles are immediately and freely available to read, download, and share upon publication. This policy underscores our dedication to promoting the dissemination of knowledge and facilitating scholarly communication without barriers.

Permissions for Reuse

EWA Publishing champions the reuse of published articles, including figures and tables, under the premise of open access. Articles published under the open access CC BY license (CC BY license) may be reused without specific permission, provided the original work is accurately cited. This approach aligns with our commitment to fostering academic freedom and the widespread distribution of knowledge. It should be noted that reuse of any article does not imply EWA Publishing's endorsement of the reuser's work.

Gold Open Access Model

Under the gold open access model, authors are required to pay an Article Processing Charge (APC), ensuring that their article is freely accessible online immediately upon publication. This model supports the principle that knowledge should be accessible to all, allowing for unrestricted reading, downloading, and sharing.

Open Access Licensing and Copyright

In alignment with our commitment to open access, EWA Publishing issues articles under Creative Commons licenses. These licenses afford authors copyright while enabling the public to reuse and adapt the content. Authors grant EWA Publishing the non-exclusive license to publish the article and to be recognized as its initial publisher. Our publications typically offer a selection of Creative Commons licenses, detailed in the Open Access Agreement, to cater to the diverse needs and preferences of our authors.

Understanding Creative Commons

Creative Commons is a global nonprofit organization that provides free copyright licenses to the public, facilitating the legal sharing and use of creative works. EWA Publishing predominantly utilizes the CC BY 4.0 license (CC BY 4.0 license), which permits others to distribute, modify, and build upon an author's work, even for commercial purposes, as long as the original author is credited for their creation.

The variety of Creative Commons licenses allows authors to specify the conditions under which their work can be used. These conditions are denoted by acronyms in the license titles, such as BY (attribution required), NC (non-commercial use only), ND (no derivatives or modifications allowed), and SA (derivatives must be shared under the same terms).

EWA Publishing's articles are primarily published under the CC BY license, reflecting our endorsement of maximal openness in academic publishing. A complete citation of the original work, including its Creative Commons license, must accompany any reuse of content, whether permission is needed or not.

The majority of open access articles published by EWA Publishing are now done so under a Creative Commons Attribution (CC BY) license. This license allows the author(s) of a work to maintain the sole right to be credited and cited as authors of the work and for everyone (including the authors) to have the rights to distribute, adapt and build upon the work. Further information about the CC BY license is provided below.

There are a number of different types of Creative Commons licenses. These open access licenses remove some of the restrictions applied by copyright law, so that content published under them may be used without permission under certain conditions. These conditions are indicated by initials in the license titles:

  • BY – reuse is only allowed if the original work is appropriately credited
  • NC – reuse is only allowed for non-commercial purposes
  • ND – reuse is only allowed of the work in its entirety – no portions or edits
  • SA – reuse is only allowed if the new work is made available under the same license as the original

There are six main types of Creative Commons licenses. The list below sets out whether you need to obtain permission to reuse work published under any of these licenses.

EWA Publishing's articles published under the gold open access model are currently published under a CC BY license.

Please note that a full citation, including the license under which the content was originally published (and a link to that license) must be included whether or not permission is required.

Information you provide directly

We may collect information directly from you if you use our Sites, visit our office locations, or communicate with us. This information may include the following, depending on how you interact with EWA Publishing:

You may need to create an account with EWA Publishing in order to access certain content and to make use of additional features on our Sites, and some additional information may be requested during registration depending on the content or service you would like to access.

Information collected through automated technologies

We may automatically collect certain information when you use our Sites, either directly or through our third-party analytics providers. This information may include Internet Protocol (IP) address, browser type and settings, device identifier details, internet service provider (ISP), referring and exit pages, the Site content you interacted with, operating system, clickstream data, location data, or other usage information. We (and third parties acting on our behalf) may collect this information through certain tracking technologies, including first and third-party cookies, web beacons (also known as tracking pixels or pixel tags), embedded scripts, location-identifying technologies, device recognition technologies, and session replay software. We do not sell your personal information. EWA Publishing uses this information to enable Site functionality, understand Site interaction trends, gather demographic insights about our user base, personalize your experience on our Sites, and otherwise administer and improve our Sites and services. While we do not currently respond to "do not track" browser signals, you have several options to exercise choices about cookies and tracking technologies.

Information we receive from other sources

EWA Publishing may receive information about you from third parties such as: business partners and data processors in technical, payment and/or delivery services; advertising, marketing, digital and social media agencies; data brokers; analytics providers; academic institutions; publication owners, societies and similar organizations; search information providers; third parties who may recommend you as a potential author, reviewer, editor or contributor; and credit reference agencies.

EWA Publishing may also receive information about you from publicly accessible content, such as public databases or social media platforms. When we collect publicly available data about you, we will honor this Privacy Policy when we store and process it.

If you choose to register and sign in by using social media or other third-party accounts as an identity service (such as your Facebook or Google account), the authentication of your account is managed by that third party. EWA Publishing will collect your name, email address and any other information that you agree to share with us at the time you give permission for your EWA Publishing account to be linked to your third-party account.

You should be aware that personal data (such as your name, social media handle, image, avatar, email address, or other identifier) that you voluntarily make publicly available by posting online to other users (e.g., on social media, forums, comments, or in chat rooms) could be collected and disclosed by others. EWA Publishing cannot prevent or monitor the collection or disclosure of publicly available personal data you post online.

Use of your information

Depending on how you interact with EWA Publishing, and with your prior consent where necessary, EWA Publishing may use your personal data for purposes of:

  • Performing any contract or other transaction we enter into with you;
  • Providing, activating, managing and supporting our products or services;
  • Notifying you about changes or updates to our Sites, products, or services;
  • Communicating with you about our or our partners' programs or events (including webinars, conferences, or promotional activities such as sweepstakes, contests, or surveys);
  • Marketing our Sites, products, or services to you (including by delivering commercial emails, newsletters, targeted advertising, phone calls, and/or SMS messages);

In addition, we may use your personal data for other purposes that we may notify you of from time to time where we have a legitimate business interest, your prior consent, or another lawful basis to do so. We use the information collected through automated technologies for the purposes described in the "Information Collected Through Automated Technologies" section above.

EWA Publishing may aggregate or de-identify information so that it can no longer identify you. Subject to applicable laws, EWA Publishing may use this aggregated or de-identified information for analytical purposes, such as developing and improving our products and services, identifying industry trends and developments, and benchmarking. Where permitted by law, we may share aggregated or de-identified information with third parties.

Sharing of your information

We may share your personal data as follows:

Within EWA Publishing. We may share your personal data with our subsidiary and affiliate companies for the purposes described in the "Use of Your Information" section above.

With our service providers. We may share your personal data with service providers that perform services on our behalf, including administrative, information technology, website and platform hosting, editing, production, payment, business management, analytics, content management, indexing, archiving, lead generation, and marketing services. Before we share your personal data with any service provider, they must agree to comply with applicable laws, maintain strong data security, and only process personal data as we instruct.

With partner organizations. We may share your personal data with certain partners, including:

  • Where a third party such as an academic institution, school, employer, business or other entity has provided you with access to an EWA Publishing product or service (such as through an integration or access code or by other means), we may share information regarding your usage of the product or service, results of assessments taken, and other information you input into the product or service;
  • Where you have participated in a program or event in which we partner with third parties (such as a webinar, conference or promotional event), we may share your information with the sponsor of the activity;
  • Where you have access to our content or Sites, elected to receive electronic alerts about conferences, or your contribution to one of our conferences or other works has been accepted for publication, we may share your information with the organization(s) associated with such content or Sites (for example, the conference owner or a society);
  • Where you declare an affiliation to a funder, institution, and/or consortia (or the like), we may share your information with that organization and their service providers, at their request, necessary to the fulfilment of any of our services of which that organization is customer;
  • Where your information is part of the published content to which EWA Publishing is providing access;
  • Where we have partnered with advertising partners to serve ads and/or collect certain information when you visit our Sites in order to provide advertisements about goods and services likely to be of greater interest to you; and/or
  • Where, even if not described above, you have consented to such disclosure or we have a legitimate business interest in making the disclosure.

With other third parties. We may share your personal data where we have a good faith belief that disclosure is necessary to comply with the law or with legal process, to protect and defend our rights and property, to protect the safety or property of our users or the general public, or protect against misuse or unauthorized use of our Sites and services. We may also share your personal data in connection with a corporate transaction, such as a transfer of a conference or other assets, merger, acquisition, consolidation, change of control, or other corporate combination.

Cross-border transfers

We may transfer, store or process your personal data in your region or another country where EWA Publishing or its service providers operate, including the United Kingdom, the United States, Germany, Singapore, Brazil, India, Sri Lanka, Australia, the Philippines and China. These countries may have privacy laws that do not provide the same level of protection as those of your country of residence. We will take all steps reasonably necessary to ensure that your personal data is treated securely and in accordance with this Privacy Policy and all applicable data protection laws. If we transfer your personal data out of the European Economic Area, we implement appropriate safeguards in accordance with applicable law (such as the EU Standard Contractual Clauses).

Retention of your information

We retain your personal data for as long as necessary to carry out the purposes described above and for any additional period that may be required by law.

Security

The security, integrity, and confidentiality of your personal data is important to EWA Publishing. We store most information about you in computer systems and databases operated by us or our service providers. Some information about you is recorded in paper files that we store securely. We have implemented technical, administrative, and physical security measures that are designed to protect personal data throughout our systems from unauthorized access, disclosure, use, and modification. We regularly review our security procedures to consider appropriate new technology and methods. Please be aware that, despite our best efforts, no security measures are perfect or impenetrable.

Links to third-party websites

EWA Publishing's Sites or services may include links to third-party websites not owned by EWA Publishing. When using such links, please be aware that any third-party website is subject to its own privacy and data protection policies and is not covered by this Privacy Policy.

Your rights

You have the right to request to:

  • Access the personal data we have about you;
  • Receive an electronic copy of the personal data we have about you;
  • Rectify any errors in your personal data;
  • Delete your personal data; and
  • Restrict or object to how we process personal data about you.

If you submit a request which cannot be fully or partially fulfilled for legal or technical reasons, an explanation for this limitation will be provided. You also have the right to lodge a complaint with a supervisory authority. You will not receive discriminatory treatment by us for the exercise of any of your rights.

If at any point you wish to review or change your preferences regarding marketing communications, you can use the "opt-out" or unsubscribe mechanism or other means provided within the communications that you receive from us, or submit an email request to info@ewapublishing.org. Note that you may still receive transactional communications from EWA Publishing if you engage with our products or services.

Chinese Residents: By reading and acknowledging our privacy policy, you consent to 1) your personal data being transferred outside of the People's Republic of China if required to provide our services or products to you and 2) your personal data being shared with third parties for marketing and advertising purposes as explained above.

Preservation

EWA Publishing is committed to ensuring that our content remains accessible and usable for our customers, regardless of media failure or technological change. To achieve this, we collaborate with digital preservation organizations such as Portico to ensure the accurate rendering and long-term preservation of authenticated content over time.


Advertising Statement

Advertising policy

General Restriction on Commercial Advertising: As a mission-driven OA publisher, EWA Publishing does not accept commercial advertisements on its official website or within its publication platforms. Our primary funding model is based on Article Processing Charges (APCs) and institutional support, which ensures that our operations are not influenced by commercial marketing interests.
  2. Non-Commercial Announcements and Self-Promotion: The website may feature content strictly limited to:
    • Announcements for our own publications, including new publication launches, special issue calls, and published articles.
    • Promotion of our own services, such as author workshops, editorial policies, and indexing milestones.
    • Notices for relevant academic conferences, workshops, or funding opportunities that are deemed by the editorial office to be of direct professional interest to our scholarly community. Such postings are at the discretion of the publisher and are not paid placements.
  3. Absolute Integrity of Academic Evaluation: All content permitted under point 2 is clearly distinguished from peer-reviewed published material. Under no circumstances will any form of announcement or promotional content influence the publication's academic evaluation, including submission handling, peer review, editorial decisions, or acceptance criteria. Our editorial and review processes remain entirely independent.
  4. Transparency and Compliance: Any permitted non-commercial notices will be clearly labeled and presented in a manner that avoids confusion with scholarly content. This policy is designed to maintain full compliance with best practices in ethical publishing and the core values of open science.
